4050 e-mail setup

I am a little new to setting up e-mail for a 4050. Does anybody have a step by step brake down how to do it and the requirements. I tried to to get help from the the IT person on site , but they know less then I do (thats sad).I have set up scanning on the Falcon 2 and voager but this command center is much different.ANY help would be much appriciated.

I start with Scanner -> E-mail. I add a subject line like "Scan from KM-4050", hit submit, and then click the link to setup SMTP. (The other way to get to SMTP settings is through Advanced -> SMTP -> General)


  • Turn SMTP Protocol On.
  • SMTP Port is usually fine at 25. I use 587 for ours to avoid certain ISPs blocking port 25.
  • Enter in the server hostname.
  • Server Timeout is usually ok at 10 seconds, unless the email server is running on a 10-year-old computer in Elbonia.

Next is authentication. Some local servers don't need it, but mine does.

  • Turn Authentication Protocol On.
  • Change Authenticate As to Other.
  • Type in the email username and password. Good luck getting this right. This is what to change for Error 1102.

Other Stuff

  • Change the E-mail Size Limit to 0 to disable it.
  • Change the sender E-mail address to something, such as the e-mail associated with the login username you just entered. This is the email that will get all of the No User Found emails and other bouncebacks and replies to scans with sensitive business information.
  • Hit submit
  • Once it reloads, hit test
  • Pray that it works

You'll also need to try scanning something, as the Test button on that setup page only connects to the email server and doesn't actually try sending an email, which can have its own problems.

All the Scan Error numbers are explained in the Basic Operation guide in the Troubleshooting section. If you get a 1101, 2101-2203, or 3101, double check the email server hostname as well as the DNS settings in Advanced -> TCP/IP -> General.

On the Falcon 3, under Scanner -> Defaults, I change the default DPI from 200 to 300. Some reports I scan come out horribly on 200 dpi.

Adding destinations is hidden under Basic -> Address Book. Just click Add Contact, enter in a Name and an email address, then hit Submit.

I think I overcomplicated this Red Face

Under Other Stuff: Make sure the sender email address is a valid one, if not you will not be able to make this work

I try never to use the host name for the SMTP server, if they replace the server they will usually rename it but use the same IP address. If you ping the host name you should get a no response message back, but it should at least give you the IP address that is assigned to it, trying to resolve host names takes longer sometimes also on busy networks.

This may be true of INTERNAL smtp servers, but ISP's frequently use rolling address ranges for load balancing - if you ping smtp.smtpserver.com once it may come back with one address and an hour later another.


Relax? When?!

Apparently the main ISP provider in this area, who shall remain nameless at this time cause I don't want them to change things, doesn't have that problem. I have been using their SMTP ip address for going on 4 years now with no problems, other than the occassional outage of service but it comes back with the same IP address every time.
